Downtown Milton BIA Meeting Minutes

Location: Downtown Milton BIA Office

Action Items Summary:

  • Laurie: Speak with David (and peeps at Bang!) re: Downtown Milton BIA welcome package
  • Laurie: To book Social Media Seminar with Sara to use Bergsma’s Loft
  • Sara: To review the current working order/usability of the Christmas wreaths
  • Laurie: To review entire budget and spend of 2015 to investigate the surplus
  • Laurie: To speak with town clerk for insight into a boundary extension program

Declaration of Pecuniary or Conflict of Interest:

  • No new conflicts

 

Treasurer’s Report: John da Silva

  • There have been some abnormalities in regards to the amount of surplus expected.  It appears that we may have a surplus north of $20K
  • More investigation will be conducted by both Laurie and John, looking deep into:
    • Timesheets
    • Any accounting errors
    • Marketing spend
    • Original 2015 budget allocation buckets

Council Report:

Councillor Best

  • Tremaine Rd is now 4 lanes
  • The Tremain on ramp has been scheduled to open as of 2017
  • Milton Hights will contain 10,000 square feet of retail
    • 1.9% of Mill Rate
    • Increase of water access to many Milton neighbourhoods to account for future upgrades

Event Updates

Shop the Neighborhood

  • No real benefit seen by Downtown members
  • Spoke with surrounding BIAs and they had the same sentiment

Downtown for the Holidays

  • Officially ready to spread holiday cheer all over Downtown
    • Social Media has been very effective
    • Many phone calls in interest from the public
    • Food drive for photo with Santa/Carriage rides to give back to the community and Knox Church for letting us use their front lawn

Downtown Milton Street Festival

Both Vendor and Entertainer applications have been amended and have been made public on both our website as well as the DMSF website

Motion:

Was put forth by John, seconded by David, for the inclusion of a beer tent in the 2016 DMSF though reservations have been brought forth by Bryden’s in bring in outside competition as a possibility of running it; Ivey still needs to be contacted.

Beautification

  • Julie from the flower shed did an incredible job, and managed to fancy up Main St. right in time for the Santa Clause Parade
  • Many phone calls/emails and social media inquiries as to the lack of Christmas décor – 2 phone calls actually asking where the wreathes are
  • More phone calls re: lights

Motion:

David put forth a motion, seconded by Val, for Sara to assess upgrading the Christmas wreaths into a usable condition to a maximum amount of $150 per wreath

  • John opposes

Marketing Committee

  • Had our first meeting at the BIA office on Tuesday at 10AM
    • Discussion evolved into running a January and February “Discover Downtown” by filling a calendar of sorts with as many different downtown businesses.  The calendar will be both available by download on our website as well as for pick up here.
    • Board feels that there should be a formal mandate developed by the sub-committee in order to ensure a focus

Other initiatives for 2016

  • Free Social Media workshop for BIA members – Board approved a $750 fee for speaker/food
    • Javed Khan will be the instructor (he is amazing!)
    • Miltowne Insurance is confirmed to sponsor the event for $500 (Speaker fee)
    • Unconfirmed location, however I am hoping to use the beautiful Bergsma’s loft
    • Once location is confirmed, I can select a date and get organizing invitations
    • OBIAA Conference In London, ON – Board approved a $1500 spend for ED to attend
      • April 10th to 13th, cost of $499, group rate of $1350 (this does not include hotel)
      • Had a lunch with the EDs from Port Credit, Burlington, DT Oakville, Bronte, Acton, Halton Hills, Streetsville, Calidonia, Georgetown, and the OBIAA ED – they are all attending and have organized a dinner for the Peel Halton people
      • Very helpful to build these relationships
    • Downtown Milton Boundary Extension, or Membership By-In
      • Bronte, DT Oakville & Burlington have all just completed a successful boundary extension
    • Downtown Milton BIA Welcome Package
